Privacy Notice
Last updated: 12 August 2026
This Privacy Notice explains how DPN Media Works ("DPN Media Works", "we", "us" or "our"), a media, technology and communications agency based in Roseau, Dominica, collects, uses, discloses and safeguards personal information when you visit dpnmediaworks.com, contact us, or engage our services. We serve clients across the Caribbean and internationally, so this notice reflects our commitments under the data-protection laws of both the Eastern and Western hemispheres.
What this notice covers. This notice applies to this website and to agency engagements such as consultations and projects. If you hold a client account or purchase our software products, licenses, downloads or subscriptions, that data is handled under the Client Portal Data Privacy policy.
1. Who we are
DPN Media Works is the data controller responsible for the personal information described in this notice. Our services include website and application development, digital media production, branding, automation and AI, cloud hosting and ongoing platform administration. Where we build, host or manage systems on behalf of a client, we may act as a data processor for that client and process personal information only on their documented instructions.
2. Information we collect
We collect only what we need to communicate with you and deliver our work:
- Information you give us — your name, email address, phone number, company, and the details you share when you request a consultation, send a message, or engage us for a project.
- Project information — content, assets, credentials and business information you provide so we can carry out the agreed work.
- Technical information — when you browse our website, our server and standard web logs may record your IP address, browser type, device information, referring page and pages viewed, for security and to keep the site running.
- Preferences stored on your device — we use a small amount of browser local storage to remember your light/dark theme choice and whether you have seen our cookie notice. See Cookies & local storage below.
We do not sell your personal information, and we do not run advertising or third-party tracking on this website.
3. Cookies & local storage
This website is deliberately light on tracking. We run no advertising cookies, no social media pixels and no third-party analytics that profile you. We store only two values in your browser's local storage: dpn-theme, which remembers your light or dark mode choice, and dpn-cookie, which remembers that you have responded to our cookie notice so it does not reappear on every visit. Our web server also keeps standard operational logs, described under Information we collect.
Under the EU ePrivacy Directive and UK PECR this storage is strictly necessary or functional, so it does not require prior consent, but we show a notice so you are informed. You can clear these values at any time through your browser's settings ("clear site data"); doing so simply resets your theme choice and shows the notice again. If you book a consultation, the booking link takes you to Google's appointment calendar, which is governed by Google's own cookie and privacy policies. Cookies set by the Client Portal for signing in, security and checkout are covered by the Client Portal Cookie Policy.
4. How and why we use it
- To respond to your enquiries and provide consultations and quotations.
- To deliver, manage and support the services you engage us for.
- To send service-related communications (for example project updates or invoices).
- To maintain the security, integrity and performance of our website and systems.
- To meet legal, accounting and regulatory obligations.
5. Legal bases for processing (GDPR / UK GDPR)
Where the EU General Data Protection Regulation or UK GDPR applies, we rely on one or more of the following legal bases: performance of a contract with you; your consent (which you may withdraw at any time); our legitimate interests in operating and securing our business (balanced against your rights); and compliance with a legal obligation.
6. When we share information
We share personal information only where necessary, and never for sale. Recipients may include:
- Service providers and sub-processors that help us operate — for example hosting and cloud infrastructure, email delivery, and appointment scheduling (Google Calendar for consultations). These parties act on our instructions under appropriate contracts.
- Professional advisers such as accountants or legal counsel, where required.
- Authorities where we are legally required to disclose, or to protect our rights, users or the public.
- In a business transfer, to a successor entity in connection with a merger, acquisition or reorganisation.
7. International transfers
Because we operate in the Caribbean and work with clients and service providers worldwide, your information may be processed in countries other than your own, including Dominica, the United States and the European Economic Area. Where we transfer personal data internationally, we use lawful transfer mechanisms such as Standard Contractual Clauses or an adequacy decision, and we take steps to ensure your information receives an equivalent level of protection.
8. How long we keep it
We retain personal information only for as long as needed for the purposes above, including to satisfy legal, tax and accounting requirements. Enquiry information we no longer need is deleted or anonymised; client records are kept for the duration of our relationship and a reasonable period afterwards as required by law.
9. How we protect it
We apply appropriate technical and organisational measures — including encryption in transit (HTTPS), access controls, monitoring, backups and least-privilege practices — to protect personal information against loss, misuse and unauthorised access. No method of transmission or storage is completely secure, but we work to keep our safeguards current.
10. Your privacy rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Delete your information ("right to be forgotten").
- Restrict or object to certain processing.
- Receive your information in a portable format.
- Withdraw consent at any time, without affecting prior processing.
- Lodge a complaint with a supervisory authority.
To exercise any of these rights, contact us at the email below. We will respond within the timeframe required by applicable law and will not discriminate against you for exercising your rights.
11. Region-specific rights
European Union & United Kingdom (GDPR / UK GDPR)
You have the rights set out above and may complain to your local Data Protection Authority (in the UK, the Information Commissioner's Office). If we rely on legitimate interests, you may object to that processing.
California, USA (CCPA / CPRA)
California residents may request the categories and specific pieces of personal information we have collected, request deletion or correction, and are entitled to non-discrimination for exercising these rights. We do not sell or share personal information as those terms are defined under the CCPA/CPRA, so there is no "Do Not Sell or Share My Personal Information" action required.
Canada (PIPEDA)
We handle personal information in line with the Personal Information Protection and Electronic Documents Act, including obtaining meaningful consent, limiting use to identified purposes, and giving you access to your information on request.
Caribbean & Dominica
As a Dominica-based agency, we handle personal information in line with applicable Commonwealth of Dominica data-protection principles and any regional frameworks that apply to our clients. Where we process data for clients elsewhere in the Caribbean, we do so under our agreements with them.
12. Children
Our website and services are directed to businesses and organisations and are not intended for children. We do not knowingly collect personal information from children under 16. If you believe a child has provided us information, please contact us and we will delete it.
13. Changes to this notice & how to contact us
We may update this Privacy Notice from time to time. The "Last updated" date above reflects the latest version. For any privacy question, or to exercise your rights, contact us at our contact page or by email at [email protected].
